Move CRM Installation to new PC

If you need to move Amphis Customer to a new PC, please follow the instructions below.

Please Note: These notes apply to Amphis Customer v3.0. If you are using an earlier version, please email customer support

Do not uninstall Amphis Customer from your old PC until you are sure you have successfuly loaded all your data and documents onto your new PC and everything is up and running ok

Overview

Moving Amphis Customer to a new PC just involves installing Amphis Customer on the new PC and copying files from the old PC to the new PC. If you have configured Amphis Customer to store data and documents on a separate PC eg server1, then you don't even need to copy any files - you just need to configure Amphis Customer on the new PC to point to the existing shared folder (in Tools->Configuration).

If you go into Tools->Configuration on the old PC that will show you where the database (customer.mdb) is located and also the documents and templates folders. Click each View Folder button to go straight to the data folder, documents folder and templates folder.

On the new PC, do the same, go to Tools->Configuration and click the View Folder buttons to go straight to the relevant folders. On the new PC you will need to close Amphis Customer or else the files will be locked. Then copy the customer.mdb file from the data folder on the old PC to the data folder on the new PC. Copy all the folders and files in the documents folder on the old PC to the documents folder on the new PC. If you want to keep any templates you have edited, copy them from the templates folder on the old PC to the templates folder on the new PC to replace the existing files.

Hidden Files and Folders

Note that the default location for the customer.mdb file and the Documents and Templates folders is the AppData folder which by default is a hidden folder on Windows which is why we provide the View Folder buttons so you can easily get to those folders. If you want to be able to navigate to those folders using Windows you can change the settings in Control Panel so that those folders are no longer hidden. You can go to Control Panel->Folder Options and on the View tab click Show Hidden Files and Folders and also untick Hide extensions for known file types. Otherwise the customer.mdb file will appear to just be called customer.

Step by Step Instructions

Step 1 - Backup your Data and Documents from your old PC

Run Amphis Customer on your old PC and go to Tools->Configuration. That will show you where the files and folders are located.

CRM Software Configuration

There are five sections, Database, Documents, Templates, Reports and Exports. There is a View Folder button in each section on the right hand side.

Click the Database section View Folder button to access the data folder and make a backup of the customer.mdb file. If you cannot see the file extensions, copy all files that start with customer. Copy the file to somewhere safe that you can also access from the new PC as you will need to copy the file to the new PC.

Click the Documents section View Folder button to access the documents folder and make a backup of all the folders and files in there.

Click the Templates section View Folder button to access the templates folder and make a backup of all the files and folders in there.

Click the Reports section View Folder button to access the reports folder and make a backup of any files in there.

Click the Exports section View Folder button to access the exports folder and make a backup of any files in there.

Step 2 - Make a note of existing Amphis Customer Configuration settings

Go to Options->Setup on your old PC and make a note of the Sales Tax information (page 2) and the Customer Id format (page 3) so you can set up the same on the new PC. Just click Next, Next, Next, OK.

Step 3 - Download and Install Amphis Customer 60 day trial onto new PC

Download and Install the 60 day trial from our home page onto the new PC and run Amphis Customer. You will need to enter your business name again and enter the Sales Tax details. On setup page 3 be careful to select the same customer Id format that you used on the old PC. On setup page 4 just click OK. The customer Id and Quote Ids etc will be loaded from the backup database.

Step 4 - Get a new License String

On the Customer Support menu or on the Evaluation screen (when you restart Amphis Customer) click Get License String to send us the new Serial Number for your new PC and we will return a new License String. There is no charge for the new License String but please note that this software license replaces your existing license and you cannot legally continue to use the old license. If you don't have Outlook installed, you can manually create an Email and insert the serial number into the Email and sent it to info@amphis-software.com

We will check the email address you send the serial number from against our records to check that you have purchased a license. If you are using a different email address than the one you used to purchase a license, please mention the email address you used previously so we can confirm that you have purchased a license.

Step 5 - Enter License String

When you receive your new license string, you can click the Register License button or menu and enter the license string to fully license the software.

Step 6 - Copy Data and Document files from your Backup

(If your data and documents are shared between multiple users and stored on a separate PC eg server1 then there is no need to restore the data and documents from the backup so you can skip this step).

Run Amphis Customer on the new PC and go to Tools->Configuration. Click the Database section View Folder button to view the data folder. Close Amphis Customer. Copy the customer.mdb file from your backup into the data folder. It should prompt you to ask if you want to replace the existing file and the answer is yes.

Run Amphis Customer on the new PC and go to Tools->Configuration. Click the Documents section View Folder button to view the documents folder. Copy the documents folders and files from your backup into the documents folder.

If you want to keep any templates you set up on the old PC, go to Tools->Configuration on the new PC, click the Templates section View Folder button to view the templates folder and copy the templates folders and files from your backup into the templates folder.

If you want to keep any reports you created on the old PC, go to Tools->Configuration on the new PC, click the Reports section View Folder button to view the reports folder and copy the reports files from your backup into the reports folder.

If you want to keep any export files you created on the old PC, go to Tools->Configuration on the new PC, click the Exports section View Folder button to view the exports folder and copy the exports files from your backup into the exports folder.

Step 7 - Configure Amphis Customer

If you want your database, documents, templates, exports or reports to be stored somewhere else on your PC, copy them to the location that you need them and then go to Tools->Configuration and click Change... to point to the new location. Click the relevant Test button to check the permissions. Click Save to save any changes.

If your database, documents, templates, exports or reports are stored in a shared folder on a different PC, you can just go to Tools->Configuration and click Change... to point to the correct location. Click the relevant Test button to check the permissions. Click Save to save any changes.

If you want to set up this Amphis Customer configuration the same as an existing Amphis Customer installation, just click the View Config DB Folder button at the bottom of Tools->Configuration to view the folder where the Configuration database is stored, close Amphis Customer and replace the existing config.mdb file with the one from the existing Amphis Customer installation.

Software Versions

It is essential that all your PCs running Amphis Customer run the same version number and build number of the software. You can check the version and build number from the Help->Help About menu. The easiest way to ensure you have the same version on all PCs it to use our Free CRM Upgrade Tool to upgrade all your PCs to the latest version.

File Locations

With the default settings, using Windows XP, your database (customer.mdb) will be stored in

   C:\Documents and Settings\<username>\Application Data\Amphis Customer v3.0

On Windows Vista and Windows 7 this will be

   C:\Users\<username>\AppData\Roaming\Amphis Customer v3.0

In the same folder you'll find the subfolders Documents, Templates, Exports and Reports.
