Contact Management Appointments
The Appointments View shows all the appointments for a 6 week period or a 1 week period so you can easily see which dates are free for making new appointments.
You can choose to show appointments for all people or for a selected person.
Each appointment is on a separate line and you can double-click an Appointment to easily get to the relevant customer record. Scroll bars are shown where appropriate so you can easily see all the Appointments for a given day and get to the full details for each Appointment.
Creating an Appointment
When creating an appointment you can easily see the existing appointments and click a date to select it as the start date for the new appointment.
You can assign an appointment to one or more specific people in your organization or you can leave the default where all people will see it.
The appointments functionality can also be used to book Rooms or Boats or other items that are booked by the hour or by the day - see Room Booking Software
Appointments can also be linked to a Job if you are using Jobs to manage your work.
Outlook Appointments and Shared Calendars
If you tick the Create Appointment In Outlook checkbox, the Appointment is also created in Outlook. If you assign the Appointment to a person that has an Email address stored (check in People->Maintain People) and Outlook is set up for Calendar Sharing, the Appointment is created in that person's Outlook Shared Calendar. A reminder can also be specified.
You can create Recurring Appointments that recur every day, week, month, year, 2 weeks etc. For example you can create Appointments for Recurring Service Visits every 12 months rather than having to create each Service Visit Appointment manually.
You can create Appointment Reminder Letters at the click of a button to print with an Envelope or Address Label. Or you can create a Appointment Reminder Email to send straight to the customer. Or you can create Appointment Reminder SMS Messages at the click of a button.
You can also set Reminders including Recurring Reminders. For example you could create a Reminder to call a customer every 12 months to agree a date for the yearly Service Visit rather than automatically creating an Appointment.
Also, on the Amphis Customer Today View you can see Reminders for Today (or any date you specify) including Appointments, Tasks, Quotes and Invoices you need to create, Emails you need to send etc.
The Today View is customizable so you can display just those Reminders that are relevant to your business.
The Appointments and Tasks can be shown just for Today (or the specified day) so you can concentrate on Tasks and Appointments for a single day, or they can be shown for the whole week.
