Data and Documents Location

The first thing to note is that all your data and documents are stored on your PCs or servers. None of your data or documents is stored on our servers. This also means you need to be sure to make regular backups of your data and documents in case a disk crashes or a virus formats your disk.

Databases

The customer data is stored in the customer.mdb Microsoft Access Database file, by default. There is also a config.mdb file which stores configuration information.

Default Configuration

By default, on Windows XP, the customer.mdb and config.mdb files are stored in the 'Data' folder

   C:\Documents and Settings\<username>\Application Data\Amphis Customer v3.0

On Windows Vista and Windows 7 this will be

   C:\Users\<username>\AppData\Roaming\Amphis Customer v3.0

By default, the Documents, Templates, Exports and Reports folders are also within this 'Data' folder.

Note that, by default, customer data and documents are stored in a user folder. In order to share data and documents between multiple users, the customer database (customer.mdb) and the Documents and Templates folders need to be moved to a Shared Folder that multiple users on multiple PCs can access.

Note that these folders may be hidden by default. If you can't see the folders, you can you go to Control Panel->Folder Options and on the View tab click Show Hidden Files and Folders and also untick Hide extensions for known file types. Otherwise the customer.mdb file will appear to just be called customer.

Configuration Changes

The customer.mdb file can optionally be moved to a different location eg to share customer data between multiple PCs on a network. It may also be optionally upgraded to a SQL Server Database, for free, for increased scalablity and performance for a large number of users.

The Documents, Templates, Exports and Reports folders may also be optionally moved to a different location eg to share customer documents between multiple PCs on a network.

The configuration data is stored in the config.mdb Microsoft Access Database file which must always be in the default location on each client PC. Amphis Customer looks in here first to determine where the customer database and folders are and whether it should connect to a Microsoft Access Database or a Microsoft SQL Server Database.

Amphis Customer Configuration

If you run Amphis Customer and go to Tools->Configuration, this will show the configuration that is being used on this PC. If it shows "Default setting - connecting to Local Database", then the software is using the local Microsoft Access Database customer.mdb in the default location given above.

If Documents, Templates, Reports and Exports similarly show "Default setting - stored on local PC" then the documents, templates, reports and exports are using their default location which is that they are subfolders within the Data folder.

Folders

There are 4 folders used by Amphis Customer :-

  • Documents - this is where the customer files are stored eg letters or invoices or scanned-in documents
  • Templates - this is where the Microsoft Word templates are stored which control how documents such as invoices look
  • Exports - this is where any exported data is saved
  • Reports - this is where any reports are saved

You can easily get to these folders from Amphis Customer from Tools->Folders or from Tools->Configuration.

Uninstalling Amphis Customer

Please note that if you uninstall Amphis Customer, this also deletes the customer.mdb database file so please DO NOT uninstall Amphis Customer unless you are absolutely sure that the customer.mdb file on this PC is not needed.
