Compact and Repair a Microsoft Access Database


The Problem

A Microsoft Access database, especially when used over a network, can require maintenance to keep internal links valid and to reclaim space. In extreme cases, the database can even be marked as invalid such that Amphis Customer displays a message indicating that the database is invalid or the database does not exist. The Microsoft Access Compact and Repair Utility can normally fix all these issues and should be run on a regular basis to keep internal links valid and to reclaim space.


Background

Amphis Customer uses a Microsoft Access database by default to store customer details. (It also supports using Microsoft SQL Server instead for superior performance and scalability, including using the Free Version called SQL Server Express.) When a Microsoft Access database is used over a network, it is essential that the Microsoft Access Compact and Repair Utility is run on a regular basis to ensure that internal links are maintained correctly and also to reclaim unused space.


The Solution

To make running the Compact and Repair easier, we have a Free Compact and Repair Application you can download from here

Our app calls the Microsoft Access Compact and Repair utility but makes it a bit easier to use. You run the Free App and then browse to the database file you need to Compact and Repair.

Note that in order to ensure that the database file is not locked, we recommend copying the database file customer.mdb to a separate PC and then running our App to Compact and Repair the database file on the separate PC. Then you can copy the compacted and repaired database file back to the server.

It is very rare that we see any issues with the customer.mdb database file, but when we have seen a problem, running our Compact and Repair utility on the database file on a separate PC has always fixed any issues we have come across.

Should a Compact and Repair ever not be able to fix a problem with the Microsoft Access customer.mdb database file, the next step would be to use the Microsoft Access functionality to Upgrade the database to a SQL Server Database and then to use the Free version of Microsoft SQL Server called SQL Server Express which provides superior performance and scalability and is designed to handle many thousands of users in true client-server fashion.

Amphis Customer supports Microsoft SQL Server at no extra charge. You just need to change the .config file to point to the SQL Server database instead of the Microsoft Access database. Amphis Software Support can provide help with this.
