Sole Trader Software
As a Sole Trader, you may need some software to make life easier for you. Amphis Customer is designed to make it easy for you to store your Contact Details, Create your Appointments, Create Quotes and Invoices, manage Jobs and create documents such as Customer Letters or Marketing Letters. To create a Quote or an Invoice, you just need to search for the customer and click Create Quote or Create Invoice.
To search for a customer record, you just need to enter any combination of name, company name, address, telephone number, email address, or document number such as an Invoice, Quote or Receipt number. You can also search for a term that is in the customer history. Click Search and all the corresponding customer records are displayed.
Create Quotes and Invoices
You can create free-form or itemized Quotes and Invoices. A free-form Quote or Invoice can have any number of paragraphs and you can assign a price for each.
An itemized Quote or Invoice has items selected from a Parts Database of items that you supply. You just need to enter the quantity for each and you can also specify discounts.
The customer details and address for the customer are added to the Quote or Invoice automatically. Sales totals and sales taxes are automatically calculated. The Invoice or Quote is created and displayed in Microsoft Word.
Here is an example free-form Invoice created with the "formal" template. Other templates are supplied and you can easily edit the templates to add your letterhead or logo and business details. You can edit the wording and fonts. Or you can create your own templates using Microsoft Word.
You can either Print the Quote or Invoice along with an Address Label or Envelope. Or you can Email the Invoice or Quote directly to the customer as a Word document or as a PDF file (requires Word 2007 or a later version).
Invoice Payment Tracking and Payment Reminders
Invoices are automatically tracked to ensure they are paid. Overdue Invoices are shown in red on the Today View. You can also run an Overdue Invoices Report. A Payment Reminder or a Statement can be created at the click of a button and either printed or emailed to the customer.
Appointments and Reminders
You can create Appointments and Reminders to help keep you organized. Recurring Appointments can be set up for regular events. Recurring Reminders can be set up, for example to phone the customer every 6 months to arrange a suitable Appointment. Appointments appear on the Appointments View and you can go straight to the customer record with one click.
The Today View shows what is planned for today including any Reminders to create Quotes or Invoices, or to call a customer. Or perhaps a reminder that a customer is calling you. Invoices that are due or overdue are displayed and you can click to go straight to the customer record. Overdue Invoices are displayed in red. Any Tasks or Appointments for Today or for this week are shown. You can Customize the Today View to only display Reminders that are relevant for the way you work.
Jobs and Job Sheets
You can choose to organize your work by creating Jobs and Job Control Sheets. Jobs can contain Invoices, Quotes, Receipts, Expenses, Appointments and other history types so you can see the complete Job History at a glance. A Job has a status such as In Progress or Invoiced and you can set a Budget. You can assign specific people to a Job and record Expenses for a Job. Jobs can automatically create Appointments for the duration of the Job which are visible on the Appointments View. A Job Control Sheet can easily be Printed or Emailed. See Job Sheets
You can easily create Custom Fields to store information specific to your business or change some of the standard fields. See Customization
