Restore CRM Database and Documents from Backup

You might want to Restore your CRM Data and Documents from a Backup if you are moving the software to a new PC or after a hard disk crash or if a virus wiped your disk. Or perhaps someone deleted a critical Customer Record by mistake and you want to restore yesterday's data.

Note: If your Data and Documents are shared between multiple users and stored on a separate PC eg server1 then there is no need to restore the Data and Documents onto each Client PC as they will be accessed from the shared location. You would only need to Restore the Data and Documents on the shared location.

CRM Database and Documents Location

If you go into Tools->Configuration that will show you where the database (customer.mdb) is located and also the Documents and Templates folders. For example the top section is called Database and if you click that View Folder button it takes you to the location where the Database is stored. We'll call this the Data Folder. Click each View Folder button to go straight to the Data folder, Documents folder and Templates folder. Make a note of these Folder Locations.

You'll need to know where you backed up the database (customer.mdb) and the Documents and Templates files. We'll call this location the Main Backup.

Backup Current Data Before Restore

Before you start to Restore anything, make a separate backup of what is currently in the Data Folder, Documents Folder and Templates Folder. Look in Tools->Configuration to find these locations. Shut down all instances of Amphis Customer before making the backup. Store this separately from the Main Backup you want to Restore from. Don't overwrite the Main Backup. We'll call this the Temporary Backup.

Restore CRM Database and Documents

You will need to close all instances of Amphis Customer if you haven't already done so or else the files will be locked.

Copy the customer.mdb file from the Main Backup to the Data Folder. It should ask if you want to replace the existing file. The answer is Yes.

Copy all the folders and files in the Documents Folder of the Main Backup to the Documents Folder. If it asks if you want to replace the existing files, the answer is Yes.

Copy all the folders and files in the Templates Folder of the Main Backup to the Templates Folder. If it asks if you want to replace the existing files, the answer is Yes.

If you want to restore Reports and Exports files, copy all the folders and files in the Reports Folder and the Exports Folder of the Main Backup to the Reports Folder and Exports Folder. If it asks if you want to replace the existing files, the answer is Yes.

Software Versions

It is essential that all your PCs running Amphis Customer run the same version number and build number of the software. You can check the version and build number from the Help->Help About menu. The easiest way to ensure you have the same version on all PCs it to use our Free CRM Upgrade Tool to upgrade all your PCs to the latest version.

File Locations

With the default settings, using Windows XP, your database (customer.mdb) will be stored in

   C:\Documents and Settings\<username>\Application Data\Amphis Customer v3.0

On Windows Vista and Windows 7 this will be

   C:\Users\<username>\AppData\Roaming\Amphis Customer v3.0

In the same folder you'll find the subfolders Documents, Templates, Exports and Reports.
