Amphis Customer is designed to make it easy to store Contact Details, Create Appointments, Create Quotes and Invoices and manage Jobs. To create a Quote or Invoice, simply search for the customer and click Create Quote or Create Invoice.
Searching for the customer is easy. You can enter any combination of name, business name, address, telephone number, email address, or a document number such as a Quote or Invoice number. Or you can enter a term to search for in the customer history. Just click Search and all the corresponding customer records are displayed and you can choose the correct one.
You can create free-form or itemized Quotes and Invoices. A free-form Quote or Invoice lets you type any number of paragraphs and you can assign a price for each paragraph.
An itemized Quote or Invoice lets you select items from a Parts Database to add to the Quote or Invoice.
The customer details and address are automatically added to the Quote or Invoice. Sales totals and taxes are automatically calculated. The Quote or Invoice is created and displayed in Microsoft Word.
Here is an example free-form Invoice created using the "formal" template. There are other templates supplied which you can try and you can easily change the templates to add your letterhead or logo and change the wording and fonts or you can create your own templates using Microsoft Word.
You can Print the Quote or Invoice along with an Address Label or Envelope. Or you can Email the Quote or Invoice straight to the customer as a Word document or as a PDF file (requires Word 2007 or a later version).
Invoice Payment Tracking and Payment Reminders
Invoices are automatically tracked and a Payment Reminder can be automatically created at the click of a button.
You can create Reminders and Appointments to help you stay organized. Recurring Appointments can be set up for regular Service Visits. For example they could be set up to automatically recur every 12 months. Alternatively, a Recurring Reminder can be set up to call the customer every 12 months to arrange a suitable time for the next Service Visit Appointment. Appointments appear on the Appointments View and you can go straight to the customer record with one click.
Appointment Reminder Letters
Create Appointment Reminder Letters at the click of a button to print with an Address Label or Envelope or Email directly to the customer.
The Today View shows what you are doing today including any Reminders to telephone or email customers or to create Quotes or Invoices. Invoices that are due or overdue are displayed. Overdue Invoices are displayed in red. At the click of a button you can go straight to the customer record. Any Tasks or Appointments for Today are shown.
Jobs and Job Sheets
You can organize your work by creating Jobs and linking Quotes, Invoices, Expenses, Appointments and other history types to a Job. You can assign specific people to a Job and you can record Expenses. A Job has a status such as In Progress or Invoiced and you can set a Budget. Jobs can automatically create Appointments which are visible on the Appointments View.
