Jobs and Job Sheet Software
Amphis Customer makes it easy to create quotes and invoices and maintain your contacts. You can also create Jobs and organize the customer history by Job. Jobs have a status, start/end date, budget and location as well as a description of the Job.
You can record expenses for a Job and see at a glance whether the Job is within budget.
A Job can be created from a quote at the click of a button, with the quote details automatically added to the job which saves you having to manually enter details. An invoice can also be created from a quote at the click of a button.
Assign Job to One or More People
A Job can be assigned to one or more people and an Appointment is automatically created for each person. Appointments are visible on the Appointments Calendar and also on the Today View and will be automatically created in Microsoft Outlook if the In Outlook checkbox is ticked. Outlook Calendar Sharing
If an Email address is stored for a person, and Outlook Calendar Sharing is set up, the appointment will automatically be created in that person's Shared Calendar in Outlook.
Print Job Control Sheet
You can Print a Job Control Sheet at the click of a button. Job Control Sheets are generated from a Job Sheet Word Template which you can customize to suit your business. Here's an example Job Control Sheet.
Email Job Control Sheet
Job Control Sheets appear in the Customer History and you can select one, right-click on it and select Email Job Control Sheet.
Then you just need to select the Engineers or other People stored in the Database that you want to Email the Job Control Sheet to and click Send Email. See Email Job Control Sheet
You can specify the Job number to start at from Options->Setup Page 4 or when you first install and run the software. There is a Next Job Number field where you can specify the next Job Number to use or you can leave it set to 1 if you want your Jobs to start at 1.
You can choose one of the built-in Job Statuses for a Job or you can create your own.
Custom Job Status
To create your own Job status, click the ellipsis (...) button next to the Job Status field. Click Maintain Lookup Data.
Check that the JobStatus category is selected. Enter a new Job Status eg Draft and click Add. Then click Close. Now the new Job Status is available for you to select.
Automatic Job Sheets
If you prefer, you can also automatically create a Job Sheet when creating a quote or invoice, just by ticking a Create Jobsheet tickbox. The Job Sheet contains all the quote or invoice details except for the prices. These Job Sheets are different from the Job Control Sheets created from the Job pages and do not contain all the features of the Job Control Sheets.
