Amphis Customer CRM Software Technical Details - CRM for Techies
Amphis Customer runs on Windows XP, Windows Vista, Windows 7 or Windows 8 Pro.
In order to generate documents eg Quotes and Invoices, Amphis Customer requires Microsoft Word 2003 or a later version. The quote and invoice templates etc are Word documents and can be edited using standard Word facilities to change text and fonts etc and to add logos and images. The generated documents eg quotes, invoices, letters etc are generated as Word documents and can also be emailed as PDF files (requires Word 2007 or a later version).
Amphis Customer can integrate with Microsoft Outlook 2003 or a later version for managing Email, Email Merge, and Tasks and Appointments.
On a 32-bit PC, the program files are installed to this location, by default.
c:\program files\amphis software\amphis customer v3.0
On a 64-bit PC, the program files are installed to this location, by default.
c:\program files (x86)\amphis software\amphis customer v3.0
The customer data is stored in the customer.mdb Microsoft Access Database file which may optionally be moved to a different location eg to share customer data between multiple PCs on a network. It may also be optionally upgraded to a SQL Server Database, for free, for increased scalablity and performance for a large number of users. Amphis Customer supports using SQL Server as the database at no extra charge.
The configuration data is stored in the config.mdb Microsoft Access Database file which must always be in the default location on each client PC and should not be upgraded to SQL Server. Amphis Customer looks in here first to determine where the customer database and folders are and whether it should connect to a Microsoft Access Database or a Microsoft SQL Server Database.
There are 4 folders used by Amphis Customer :-
- Documents - this is where the customer files are stored eg letters or invoices or scanned-in documents
- Templates - this is where the Microsoft Word templates are stored which control how documents such as invoices look
- Exports - this is where any exported data is saved
- Reports - this is where any reports are saved
You can easily get to these folders from Amphis Customer from Tools->Folders or from Tools->Configuration.
The folders can be moved to a different location eg to share them between multiple users on a network.
The configuration details for Amphis Customer are stored in the config.mdb Microsoft Access Database on each client PC.
This shows the configuration for a single user using a laptop.
This shows the configuration for multiple users sharing customer data and documents on an office network.
Note that prior to release v3.0.45 the configuration was stored in the XML config file amphis customer.exe.config but many clients had problems with the permissions for this file as it is stored in the Program Files location, and clients also had problems getting the syntax correct and so we moved the configuration to an Access database which can be maintained from within Amphis Customer from Tools->Configuration.
The customer data is stored in the customer.mdb Microsoft Access Database unless the installation has been upgraded to use SQL Server instead of Microsoft Access for the customer data. Note that even if you migrate to SQL Server for the customer database, you still need to have the config.mdb Access database on each client PC.
The config.mdb database has a single table called Config which has 6 rows. By default it contains this data.
The XML config file amphis customer.exe.config is still used but not for items that the user may want to change.
By default, on Windows XP, the customer.mdb and config.mdb files are stored in the 'data' folder
C:\Documents and Settings\<username>\Application Data\Amphis Customer v3.0
On Windows Vista and Windows 7 this will be
C:\Users\<username>\AppData\Roaming\Amphis Customer v3.0
The Documents, Templates, Exports and Reports folders are also in this 'data' folder.
Note that these folders may be hidden by default. If you can't see the folders, you can you go to Control Panel->Folder Options and on the View tab click Show Hidden Files and Folders and also untick Hide extensions for known file types. Otherwise the customer.mdb file will appear to just be called customer.
If you go to Reports->Custom Report Builder and enter this SQL statement
SELECT * FROM CUSTOMER
and click Run Report you will see something like this (assuming you have some customer records in the database).
This shows that internally the Customer Ids start at 1. The "Customer Id" that is visible to the user is really the Display Id. This internal customer id is used to link tables to each other and used to organize customer documents.
If you go to Tools->Folders->View Documents Folder, that will show a subfolder for each customer record. Here was have subfolders for Customer Ids 1 and 2 to match the Customer Ids we saw above.
All files for Customer Id 1 are in subfolder 1. That includes invoices, quotes, receipts, letters etc created within Amphis Customer and also any files attached to History Entries. Also Email Messages are stored in here too.
The files are linked to the database in the History table where the filename is stored.
Only the file name is needed as the location will always be the subfolder with the Customer Id.
Share Customer Data and Documents on a Network
To share the customer data and documents on a network you need to create a folder on a server and set it up as a Shared Folder. Then you can copy the customer.mdb file and the 4 folders to the shared folder and update each client PCs configuration from Tools->Configuration to access the shared database and folders on the server. Once you have set up one client PC, you can copy its config.mdb file to all the other client PCs to set them all to have the same configuration. See Share Customer Data and Documents on a Network
